学生信息核查和校园安全重要事宜

各位老师、同学和家长:
大家好!开学伊始,虽然因流感等因素我校跟整个维多利亚州公校一样出现教师短缺情况,但我们的教师、学生和家长们互相帮助、攻克时艰,保障了开学前两周的正常教学。更值得一提的是,在第一天,有不少学生因各种原因无法找到教室,他们在家长带领下到学校办公室咨询,自觉排起了长队,秩序井然。我为这样的学生和家长点赞,同时也会跟同事们一起今后努力把我们的工作做得更加快捷、有效。
今天,我将在这里跟大家讲两个重要的事项:
第一,学生信息核查
根据维州教育部的规定,所有接受教育部监管的社区语言学校每年必须向教育部提供当年注册的学生的信息而且必须是准确的信息,主要内容包括以下5个:(1)学生的学号VSN、(2)学生的姓和名(跟日校相同)、(3)出生年月日、(4)性别、(5)学生就读的日校名字和校区(如日校有两个以上的校区的话)。
社区语言学校向教育部报告注册学生的信息既可用于获得教育部的资助,也可用来购买公众责任险。同时,也给政府提供了各种社区语言的教学规模和发展的具体数据,帮助政府了解社区的需求、制定有效的语言教学政策。
我知道,您已经填写了在线的学生信息表,但是我们发现每年都有填写的失误。比如,孩子的VSN里9个数字的错误。还有常见的孩子生日的年份错写成填表时的年份(2024年或2025年),更有填了家长自己的出生年份的。信息的准确是对学生、学校和政府的负责,我们需要您的理解和配合!
如果您孩子不在日校的学前班学习,没有VSN属于正常;如果您孩子是居家学习的话需要提供证明信件。
请注意:学生信息受隐私法保护,我校由专人负责将学生信息上报教育部,所有做学生信息管理工作的员工都按规定签署过保密协议。同时,请家长注意不要在班级群里公开您孩子的任何个人信息。
第二,儿童安全保护
作为受教育部监管的社区语言学校,我们严格按照教育部的规定执行儿童安全保护的法令法规,也制定了一系列的儿童安全政策(请查阅我校官网:www.xjs.vic.edu.au)。
今年,我校在开学前期根据上级主管部门的要求对全校教职员工再次举办了儿童安全方面的培训,我把要点内容公布如下,请我们学校社区每一位成员共同重视:在校园内
1, 不得因儿童的残障、年龄、性别识别、种族、文化、性取向、宗教或民族对任何儿童进行歧视;
2, 不得将儿童置于受侵害的风险之中;
3, 不得忽略或无视任何儿童虐待或伤害的担忧、怀疑和揭发;
4, 不得在有儿童在场的情况下公开讨论成人话题;
5, 不得在有儿童在场的情况下使用不恰当的语言;
6, 不得在有儿童在场的情况下,表达其对文化、种族和性的个人观点;
7, 未经学校同意不得进行拍照或录制视频;
8, 此外,不得在学校以外与他人讨论学校的保密性话题。
在过去的数十年里,在历任、历届老师、同学和家长们的共同努力下,我们学校始终有一个安全和充满活力的校园,也正因为这样才保障了我们有优质的中文教学和连年优异的VCE中文以及IB中文的好成绩。希望我们共同珍惜,让我们的校园更健康、安全!

Principal’s Message
Dear teachers, students and parents,
At the beginning of the school term, despite a teacher shortage in our school—just like in all public schools across Victoria due to factors such as the flu—our teachers, students and parents supported each other and overcame difficulties to ensure normal teaching during the first two weeks. I would like to mention that on the first day, some students were unable to find their classrooms for various reasons. Led by their parents, they went to the school office for assistance, forming a long but orderly queue. I truly appreciate the patience and cooperation of these students and parents. My colleagues and I will strive to make our work even more efficient and effective in the future.
Today, I would like to talk about two important issues:
1. Student information check
According to the regulations of DET, all community language schools under its supervision must provide accurate information about their registered students to DET each year. The key details required include the following five aspects: (1) student’s VSN (Victorian Student Number); (2) student’s first name and last name (same as registered in the day school); (3) student’s date of birth; (4) student’s gender; (5) student’s day school name and campus (if the day school has more than one campus).
The information on registered students reported by community language schools to DET is used not only to secure funding from DET but also to purchase public liability insurance. Additionally, it provides the government with specific data on the scale and development of various community language programs, helping authorities understand community needs and develop effective language education policies.
I understand that you have already completed the online student enrolment form. However, we have noticed that errors occur every year. For example, mistakes in the nine-digit VSN (Victorian Student Number) are common. Another common issue is incorrectly entering the student’s birth year as the current year (2024 or 2025) or even mistakenly inputting the parent’s birth year. Ensuring the accuracy of this information is essential for the benefit of students, schools and the government. We appreciate your understanding and cooperation!
If your child is not attending a preschool program at a day school, it is ok for them not to have a VSN. However, if your child is home-schooled, you will need to provide a supporting letter as proof.
Please note: Student information is protected under privacy laws. XJS has designated personnel responsible for reporting student information to the DET and all staff involved in student information management have signed confidentiality agreements as required. Additionally, we kindly remind parents not to share any of their child’s personal information publicly in class group chats.
2. Child safety issue
As a DET accredited community language school, we strictly comply with the department’s regulations on child safety protection laws and have also established a series of child safety policies (please refer to our school’s website at www.xjs.vic.edu.au).
This year, before the start of Term 1, we conducted another child safety training session for all staff, as required by CLV. I am sharing the key points below and encourage every member of the school community to take them seriously. DO NOT
Ø Discriminate against any child because of disability, age, gender identity, race, culture, sexual orientation, religion or ethnicity.
Ø Put children in the risk of harm.
Ø Ignore or disregard any concerns, suspicions or disclosures of child abuse or harm.
Ø Engage in open discussions of a mature or adult nature in the presence of children.
Ø Use inappropriate language in the presence of children.
Ø Express personal views on culture, race or sexuality in the presence of children.
Ø Take photos or record videos without the school’s permission.
Ø Discuss confidential issues of the school with people outside the organisation.
Over the past decades, through the collective efforts of past and present teachers, students and parents, XJS has always maintained a safe and vibrant campus. This environment has been crucial in ensuring high-quality Chinese language education and consistently excellent results in VCE Chinese and IB Chinese exams. Let us cherish this together and continue to make our campus even healthier and safer!
