关于2023年我校学生信息核查的重要通知
各位老师、同学和家长:
大家好!上个星期四晚上,我参加了维多利亚州社区语言学校协会举办的年度第一次重要会议,会上公布了教育部对2023年社区语言学校学生信息收集的具体要求,强调了社区语言学校必须每年向教育部上报学生的信息,以及学生信息的准确和隐私保护重要性。按照教育部规定,每位在社区语言学校学习的学生的信息必须由其所在的学校上报给教育部,每年进行更新,作为教育部对语言学校的审计、经费补助以及购买保险的依据。教育部特别强调不支持网课教学。如何做好学生信息的上报工作、保障学校的正常运作,需要我校师生和家长们一起配合。
学生信息的准确,指学生在报读我校时,填写学生姓名时的英文姓和英文名必须跟其在日校填写的完全一致(注册居家学习的需要提供信件证明),没有上学的要与其护照(没有护照的以出生证上)的姓名相同;生日填写的格式是:日、月、年;就读日校的需提供学校全名,如日校有两个以上校区的需填写具体校区名。年满4岁就读幼儿园学前班的学生需提供幼儿园名。此外,教育部要求每个学生的信息需家长签名确认提供了孩子准确的信息。
我校自三年前实行学生网上注册以来,目前就读的学生已百分之百在网上完成填表。换句话说,今年我们不要求同学和家长重新填写学生信息表。但是,由于从去年底至今年初以来有些学生因各种原因更换了日校,以及在信息输入时的疏忽导致部分信息失误(比如,最常见的生日填写错误)。此外,学校也发现了有些学生的姓名、生日等信息与学校资料库里历年收集的不相符。因此,我们将通过各班班主任老师与家长联系,对几项重要的学生信息进行核查,需要请家长们配合为盼。
学生信息的保密,指所有学生的信息仅限学校和教育部掌握,学校不得以任何理由将任何一位学生的信息提供给第三方。我校根据教育部的要求,建立了学生信息库,安排专职教师管理,学生信息严格受隐私法保护。一旦发现盗用学生信息的情况,将按照教育部的规定采取法律行动。
如何核查学生信息,不同年级的班主任老师会用不同的方式跟家长联系,今年信息核查的具体内容已在“学生信息的准确”中提到的几项,家长可与班主任老师联系查看自己孩子的信息表,如发现有错误的请打叉并用醒目的颜色写上正确的内容。请注意:不要在任何群里提供您的孩子的任何个人信息。
根据社区语言学校与教育部签署的“社区语言学校项目”协议的规定,教育部对学生信息上报有严格的时间。因此,我们要求家长在收到班主任老师发出核查通知的两周内配合完成。我校历年来在学生信息收集和管理上所做的工作都得到教育部的肯定,相信今年在全校老师、学生和家长们的合作下会做得更好。

附:关于交通管理事宜的重要通知
开学以后,由于我校学生人多,以及Mt Waverley 中学初中部、高中部两个校区都有工地,严重影响到我校员工和家长们的泊车,也导致了上学和放学高峰期交通严重堵塞。据了解,在周一至周五日校高峰期同样存在交通堵塞问题。
有家长跟学校反映希望采取措施改善。多年前,我校曾聘用多位员工在校园附近协助交通管理,缓解了堵塞现象。后来我们被市政府告知在校园外这么做是不被允许的,我们只能在校园内有限管理交通。同时,我们一直在与市政府、州政府相关部门沟通,希望在我校开学期间能安排交通安全员及校园附近能限速。这些是需要花时间才有可能实现的。
因此,我们希望家长了解目前的交通状况,尽可能适当提前到校或者在学校附近50米以外无限制区域泊车。同时,也希望家长们遵守交通规则、互相礼让。宁停片刻,不争一秒,避免交通事故的发生,避免受罚。

Principal’s Message
Dear teachers, students and parents,
Last Thursday I attended the CLS Funding Information Session organized by the Community Languages Victoria and learned the requirements of students data collection in 2023 and importance of protecting students’ personal information privacy. As you may have known, community language schools are expected to submit students’ enrolment information each year to DET and update the information regularly for the schools’ accreditation, auditing, funding application and purchasing public liability insurance. CLV has claimed that the DET funding is for onsite learning only. We need our teachers, students and parents to work together to make sure the students’ data collection and submission can be completed smoothly.
The accuracy of students’ data means that when students are enrolled in XJS, their surname and given name should match with the names registered in their day schools (home-schooling students should provide a letter from VRQA). If children are not yet registered in any school, their names should match the records on their passports or birth certificates. Date of birth format is dd/mm/yyyy; Their day school names refer to the full names of the mainstream schools and if there are more than one campus for the day schools, indicate the name of the campus. Students over 4-year-old attending kinder program are expected to provide the names of the kindergartens or childcares. Moreover, parents are expected to sign the enrolment forms to confirm the accuracy of the information provided.
Since we started enrolling online from 2020, all the enrolled students have completed their enrolment process online. Thus, we are not going to ask students and parents to fill in a hardcopy enrolment form again. However, we have noticed that some students have changed their day schools for various reasons and some parents have made typo mistakes when filling enrolment forms online (such as date of birth in wrong format). We’ve also noticed that some information (such as student name and date of birth) provided this year is different from the records from last year. Therefore, our class teachers would contact parents for confirming a couple of important information and your cooperation would be much appreciated.
The privacy of students’ personal information means the information collected only for XJS and DET and would not be disclosed to any third party. We have established our student database as requested by DET and specific admin staff is responsible for managing and protecting the privacy of the database. Legal actions would be taken under the instruction of DET if any conduct of abusing students’ personal information is noticed.
How are we going to confirm students’ information? Class teachers would contact parents in various ways to make sure some important information is confirmed by parents. If you find any mistakes, cross them and correct them clearly. Please be aware not providing your child/ren’s personal information in group chats.
There is a due date for community language schools to submit students’ enrolment information based on the agreements between CLS and DET. Therefore, it would be much appreciated if parents could confirm your child/ren’s information within two weeks after receiving the notices from class teachers. We have done a good job in the past years and I believe we could make it again this year with all your support.

P.S. Regarding parking issues
Since the start of Term 1, we have faced big challenge in trafficking and parking on and around the campus especially during peak hours, let alone the construction work on both junior and senior campuses of MWSC are still going. As far as I know, the day school has also encountered traffic jam during peak hours Monday to Friday.
Many parents have approached me requesting for improvement measures. Years ago we used to hire admin staff to supervise traffic outside the campus, however, we then were informed our staff were not allowed to step out of the campus for traffic supervision. We have been communicating with local city council and relevant government authorities wishing them assigning us some traffic supervisors during school terms and put a speed limit around the campus on weekends. However, it takes time for the measures to be taken.
Therefore, we hope you understand the current situation of traffic issues and try to arrive a bit earlier than usual and park in unlimited parking areas 50 metres away from school. Moreover, please follow the traffic rules and respect other drivers. Even a small decrease in speed significantly reduces the likelihood of a crash. Keep safe and drive carefully.
