顺利开学暨学生信息核查等重要事宜

各位老师、同学和家长：
大家好！我们2026学年上个星期周末顺利开学了。第一个教学周全校记录有3400多位学生出勤，各个校区的教学正常，行政配合辅助到位。在这里，向学校社区所有成员（包括教师、学生和家长，以及志愿者）致以诚挚的谢意，大家新学年好！
开学前，学校管理团队对各项工作做了充分的准备：行政人员在连续高温时期搬运教材、分发作业簿本，保证了学生们开学都能拿到课本；办公室员工以小时为单位，及时统计不断报名注册进来的学生，及时给他们分配安排到不同校区、不同年级、不同上课时间的不同班级；各年级的老师们都参加了教研组长召集的年级组备课活动，还分享了教学经验，设计课件；各校区分别举办了教职员工培训，强调严格遵守儿童安全法律法规，明确校园安全的注意事项，还布置班主任老师做好家校联系工作以及安置好今年入读的新生等。但是，尽管如此仍有不完善地方，有主观和客观方面的因素，我们会根据老师、学生和家长们的意见和建议，查明原因，及时处理、调整，让每一位学生都能在我们学校快乐学习，让大家有一个安全、卫生的校园。
今天，我将在这里要跟大家讲一个非常重要的事项：学生信息核查。
根据维州教育部的规定，所有接受教育部监管的社区语言学校每年必须向教育部提供当年注册的学生的信息而且必须是跟学生在日校注册的信息是一致的，主要内容有5个：（1）维多利亚州学生的学号VSN，（2）学生的姓和名（跟日校相同），（3）学生生日（以日、月、年排列为序），（4）学生性别，（5）学生就读的日校名字和校区（如日校有两个以上的校区的话需要特别注明）。
我知道，所有学生家长已经在线填写了学生注册信息表，但我们每年都会被教育部审核出有上百个学生信息有错误，最常见的是学生名字跟日校使用的不同以及生日填错。我相信，这可能是有些家长不经意的失误。因此，我在这里恳请所有家长协助我们学校核对您填写的孩子信息中的上述5项内容（具体会由您孩子的班主任老师和您联系）。这对我们学校和您的孩子都非常重要，因为社区语言学校向教育部报告注册学生的信息既可用于获得教育部的资助，也可用来购买公众责任险，更可帮助政府了解社区的需求、制定有效的语言教学政策。
如果您孩子不在日校的学前班学习，没有VSN属于正常；如果您孩子是居家学习的话需要提供证明信件。
我需要特别跟大家报告一下：学生信息受隐私法保护，我校由专人负责将学生信息上报教育部，所有做学生信息管理工作的员工都按规定签署过保密协议。在班主任老师请家长协助核查学生信息时，请家长注意不要在班级群里公开您孩子的任何个人信息。
我校在2025年的VCE中文高考和IB中文高考中再次分别取得优异的好成绩，我相信在2026年我们会做得更好。
我感谢家长们把孩子送来学中文和中华文化，传统传承需要我们共同努力。下个星期二是中国春节，中国农历新年即将开始，我在这里提前跟大家拜年：祝老师们工作顺利、桃李芬芳；祝家长们万事顺遂、龙马精神；祝学生们学业进步、马到成功！

Principal’s Message
Dear teachers, students and parents,
Our Term 1 started smoothly last weekend. On the first week of the term, about 3400 students attended the classes and the operation onsite went well with the great support of our admin staff and teachers. I would like to present my sincere appreciation to all the community members including teachers, students, parents and volunteers. I wish you all the best in the new school year.
Before the new term started, our administration team had made a lot of preparations. Admin staff delivered and handed out the textbooks and exercise books in hot weather making sure all the students could get their new books on the first days. Staff in reception sector updated the enrolled students by hours and informed the updated information to the classes in respective campuses, year levels and class times. Teachers attended professional training organised by year level coordinators sharing their teaching experience and preparing teaching plans. All the admin and teaching staff attended training for each campus refreshing the relevant child safety rules and regulations, reinforcing the importance of campus security, arranging communication with parents and making arrangements for newly enrolled students. Although we have made a lot of preparation, there are still areas to be improved due to various reasons. We will treat the feedback from teachers, students and parents seriously and make sure each student has a pleasant and safe learning environment at XJS.
Today, I would like to talk about an important issue: student information check.
According to the regulations of DET, all community language schools accredited by DET must provide accurate information about their registered students (should be matched with the records in day schools) to DET each year. The key details required include the following five aspects: (1) student’s VSN (Victorian Student Number); (2) student’s first name and last name (same as registered in the day school); (3) student’s date of birth (in the format of dd/mm/yyyy); (4) student’s gender; (5) student’s day school name and campus (if the day school has more than one campus).
I understand that you have already completed the online student enrolment form. However, we have been informed by DET hundreds of errors occurred every year. For example, student’s name entered is different from that registered in his/her day school or an incorrectly entered date of birth. I believe these are typo mistakes. It would be much appreciated if parents could assist us to double-check the relevant information mentioned above (class teachers might contact you later). Ensuring the accuracy of this information is critical for the school to seek DET financial support, purchase public liability insurance for students and is also beneficial for DET to understand the needs of community and develop suitable language teaching policies.
If your child is not attending a preschool program at a day school, it is ok for them not having a VSN. However, if your child is home-schooled, you will need to provide a supporting letter as proof.
Please note: Student information is protected by privacy laws. XJS has designated personnel responsible for reporting student information to the DET and all staff involved in student information management have signed confidentiality agreements as required. Additionally, we kindly remind parents not sharing any of their child’s personal information publicly in class group chats.
XJS students gained excellent VCE and IB Chinese exam results in 2025. I believe we can make it better in 2026.
